The first message you send a buyer does more conversion work than any other single communication in your Fiverr business. Buyers who message multiple sellers simultaneously — which most experienced buyers do — typically respond to the first reply that demonstrates genuine engagement with their project. A generic "Yes I can help, please check my gig" loses to a specific, responsive reply every time.

These six templates cover the most common first-message situations on Fiverr. Each is written to be adapted with buyer-specific details rather than sent verbatim — one or two personalised sentences make a template feel like an original message.


How to Use These Templates

Before using any of these, read the buyer's message fully. The most important personalisation you can add is one sentence that references something specific from what they wrote. Buyers who receive a reply that clearly addresses their actual situation convert at meaningfully higher rates than buyers who receive a template that could have been sent to anyone.

The format for each template is: opening acknowledgment, one specific response to their situation, one question that moves the project forward, and a clear closing. This four-part structure is short enough to be read immediately and specific enough to demonstrate competence.


Template 1: The Vague Inquiry

When to use it: The buyer's message describes what they want at a very high level without giving you enough to start work. "I need a logo for my business" or "I need some content written."


Hi [name],

Thanks for reaching out. I would love to help with your [service type].

To make sure I can give you an accurate quote and timeline, could you tell me a bit more about what you have in mind? Specifically, what is your business about and who is the target audience?

Once I have those details I can confirm whether my gig covers everything you need and suggest the best package.

Looking forward to hearing more.

[Your name]


Why it works: It acknowledges the inquiry positively without committing to anything vague. The one specific question moves the conversation toward scoped information without overwhelming the buyer with a list of ten questions. The final line is warm without being desperate.

Adapt it: Replace "service type" with the actual service they mentioned. Replace the specific question with whichever single question would be most useful for your category.


Template 2: The Budget Question

When to use it: The buyer asks whether you can do their project for less than your listed price, or asks what your minimum is before describing the project.


Hi [name],

Thanks for getting in touch. My rates for this type of work start at [your lowest price] for [basic scope description].

For a better idea of what would fit your budget, could you tell me a bit about the scope? What does the project involve and what is your timeline?

Once I understand what you need, I can confirm whether we are a good fit and which package would work best.

[Your name]


Why it works: It states the minimum without apologising for it, immediately pivots to scope rather than price, and frames the next step as a fit evaluation rather than a negotiation. Buyers who are genuinely interested provide scope information. Buyers who were only interested in the cheapest option often do not respond, which saves you from a difficult order.

What not to include: Do not ask "what is your budget?" as a response to a budget question. They just asked you about your price. Ask about scope instead.


Template 3: The Out-of-Scope Request

When to use it: The buyer is asking for something your gig does not cover, or their project is adjacent to your service but clearly outside what you offer.


Hi [name],

Thanks for the message. After reading through what you need, I want to be upfront that [specific element of their project] falls outside what my current gig covers.

My gig is set up for [what your gig does cover] — so if that part of your project would be useful, I can definitely help with that.

If you need the full scope as you've described it, you might have better luck searching for [relevant alternative skill or category]. Happy to help narrow down what to look for if that would be useful.

Why it works: It is honest without being abrupt. It offers partial help if applicable, which sometimes converts into an order for the portion that fits. The offer to help them find alternatives is a goodwill gesture that occasionally brings buyers back for future work within your scope.

Why declining is worth doing well: A buyer who receives a clear, helpful decline has a better experience than one who is ignored. Response rate is preserved. And buyers who are declined graciously sometimes recommend you to others.


Template 4: The Rush Job Request

When to use it: The buyer needs delivery faster than your standard timeline and either asks directly or mentions a deadline that does not match your packages.


Hi [name],

Thanks for reaching out. I can see you need this by [their deadline] — that is a [X]-day turnaround from today.

My standard delivery for this type of work is [your normal timeline]. Rush delivery is available but I want to make sure I can commit to your timeline before confirming.

[If you can do it:] I do have availability this week and can accommodate a [X]-day delivery as a rush extra. My standard package plus the rush extra would bring the total to approximately [price]. Let me know if that works and I can send you a custom offer.

[If you cannot do it:] Unfortunately I do not have the availability to guarantee that timeline this week without risking the quality. I would not want to commit to something I could not deliver well. If your timeline has any flexibility, I am available from [date].

Why it works: It takes the deadline seriously rather than dismissing it. It gives an honest answer about availability — either yes with a clear price, or no with an honest reason. Buyers who need a rush job and receive a clear, professional answer trust the seller more than one who just says "yes" without confirming capacity.


Template 5: The Custom Project Scope

When to use it: The buyer has a clear, specific project that does not neatly fit any of your standard packages and is asking for a custom quote.


Hi [name],

Thanks for the detailed brief — this is exactly the kind of project I work on regularly.

Based on what you have described, here is what I would include: [List two to four specific deliverables]

Timeline: [your realistic estimate] Price: [your custom quote]

If that works for you, I can send a formal custom offer through Fiverr so you can review everything before committing. Happy to adjust the scope if any of that does not match what you had in mind.

[Your name]


Why it works: The list of deliverables shows the buyer you read their brief and translated it into concrete outputs. The offer to send a formal custom offer rather than asking them to order through a standard package removes friction and gives the buyer something concrete to evaluate. The final sentence invites adjustment without seeming unsure.


Template 6: The Post-Delivery Follow-Up

When to use it: You have delivered an order and want to check in with the buyer without pressuring them for a review.


Hi [name],

Just wanted to check you had a chance to look at the delivery. Let me know if anything needs adjusting or if you have any questions about the files.

If you are happy with how it turned out, a review would genuinely help my profile — it lets other buyers know what to expect.

Thanks for the project — was a good one to work on.

[Your name]


Why it works: It surfaces the delivery without pressure, offers a revision invitation, asks for a review in one sentence without making it the entire message, and closes with a genuine personal note. The review request is embedded naturally rather than leading with it. A message that opens "If you could leave me a 5-star review" performs significantly worse than one that leads with buyer service and closes with the ask.


The 24-Hour Rule

Every first message deserves a reply within 24 hours, including messages you decline. Your response rate metric counts every first message, including the ones you would rather ignore. A two-sentence neutral reply to a message you cannot help with takes 30 seconds and preserves the metric.
